GCI Systems is pleased to offer a flexible return policy based on industry standards as described below:
Please contact your sales representative or go to the RMA dept email: rmadept@gcisystems.com to obtain a Return Merchandise Authorization (RMA) number. The RMA number is the key control element in returned product handling and is generated by GCI Systems. Any product returned to GCI Systems must have an RMA number. GCI Systems will refuse any package that is returned without a valid RMA number. Shipping charges for shipments are non-refundable. You are also responsible for shipping charges on all return shipments.
Please have the following information available when you request RMA #:
- Invoice or packing slip number issued by GCI Systems
- Part number & quantity
- Reason for return
- Location of product
All return requests must be received within 7 days of the invoice or packing slip date from GCI Systems. The product must not be opened and must be in resalable condition. Re-salable means there is no writing or defacing of the manufacturer packaging and the software/static seals have not been broken. If merchandise is received in un-sellable condition, it will be returned to the customer at a $50 processing cost plus freight charges. All requests after the 20 days will be reviewed on a best effort basis.
Due to manufacturer policies, GCI Systems can not accept returns on Hewlett Packard (HP) or IBM parts for any reason other than DOA (Dead on Arrival). GCI Systems also reserves the right to not authorize returns on discontinued products, or a product being manufactured by a vendor that has declared bankruptcy is insolvent or has a non-return policy based on the product purchased.
All RMA numbers will be valid for a period of not longer than 10 days. Any package received at GCI Systems after 10 days of issuance will be refused. This includes in-transit time. Product must physically be received by GCI Systems within this time frame.
Defective and Dead on Arrival (DOA) Products
Defective and DOA products will only be accepted in accordance with the manufacturer’s warranty requirements. Please contact our RMA Dept within 7 days of receipt to request an RMA number for DOA or defective merchandise. The manufacturer’s policy will determine whether you can return merchandise for credit, replace with identical product, or have the unit repaired. Some manufacturers require that all defective and DOA products be returned directly to them, or they may limit the time frame in which to return the product. If product returned as defective or DOA is found not to be defective or DOA, it will be returned back to the customer and a $50 processing fee will be charged along with the freight costs. DOA products must be returned in original boxes with packaging material, including all cables, software, manuals, warranty cards, etc.
Freight Damage
If you receive a shipping carton that shows obvious damage due to the freight carrier, please note the carton damage on the carrier’s bill of lading and contact our RMA dept. immediately. The package must be reported to our RMA dept. within 48 hours of receipt. Product damage reported after 48 hours of receipt will be processed on a best effort basis.
Returns Policy
For efficient return-shipment execution and to ensure that you receive credit/replacement due, please follow procedures stated below:
- Request a Return Merchandise Authorization (RMA) number
- RMA’s must be requested within 7 days of invoice or packing slip date and are valid for no longer than 10 days from issuance.
- Any product received after the 10-day validity period will be refused and shipped back to you at additional cost.
- Write the RMA number on the address/shipping label, not on the outside of the manufacturer’s boxes.
- Include one RMA per carton.
- Product must be in re-sellable condition and must include all accessories, cables, manuals and software.
- Carefully package product to prevent damage in transit. You are responsible for any damages that occur during the return transit.
Please note that the following products cannot be returned for any reason other than defective or DOA:
- Open units, units which require re-boxing or units in an unsuitable resale condition.
- Open software, memory, where manufacturer’s seal is broken.
- Discontinued or obsolete items.
- Special order items.
- Configured items.
- IBM, Lenovo and Hewlett Packard (HP) manufactured spare parts.
- Items in which the manufacturer will not accept returns.
